The Administrative Support Specialist will play a critical role in maintaining the CRM system, coordinating events, and providing comprehensive administrative support.
Responsibilities:
- Maintain and manage the CRM system, including personnel, business development opportunities, and project information.
- Track and coordinate the renewal of employee community involvement in CRM, certifications and licenses.
- Assist with business development research and gathering statistics.
- Connect employees with community activities and board opportunities.
- Handle event and award sponsorship payments.
- Schedule meetings and coordinate travel arrangements for business development activities.
- Coordinate business development-specific events and manage event/award sponsorships.
- Assist with internal events such as company picnics, holiday parties and corporate golf outings.
- Record and distribute meeting minutes.
- Assist with holiday gift and greeting card coordination.
- Provide backup support for events, tradeshows, and dinners, including after-hours events.
- Record and process mileage, timecards and ad hoc reports.
Qualifications:
- Bachelor’s Degree or equivalent experience.
- Proficiency in Microsoft Office Suite and Zoom.
- Experience managing multiple priorities, administrative coordination, and logistics.
- Strong organizational skills with the ability to multi-task and follow up effectively.
- Excellent written and verbal communication skills.
- Ability to work independently and meet deadlines; organizing mileage, expense and credit card reports and receipts.
