Our client, a distinguished municipal department in Milwaukee, is currently seeking a qualified individual for the position of Office Coordinator. This role is pivotal in performing a variety of routine and non-routine administrative tasks, requiring standard knowledge of programs and operations within an assigned area.

Responsibilities:

  • Perform non-routine office tasks, including scheduling annual inspections, assigning completed certification files, tolling RFTA’s, responding to inquiries from tenants, owners, and others, and related tasks.
  • Assist in overseeing and training front desk/clerical staff.
  • Answer phones, direct calls, take messages, print and mail letters, ensure daily delivery of incoming mail and pick-up of outgoing mail, assist with sorting, logging, and delivering incoming mail.
  • Maintain the filing system by ensuring timely filing of tenant folders, logging files ready for storage using the system database, and shredding obsolete files as scheduled.
  • Process property sales, landlord address changes, move notices, invoices, and related documents.
  • Ensure office supplies are appropriately stocked, coordinate and process supply orders as needed, and maintain a professional and tidy office space. Alert maintenance staff of any issues or concerns.

Qualifications:

  • High School Diploma or equivalent (G.E.D.).
  • 2-4 years of related experience.
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Knowledge of data entry methods, department operations and programs, housing inspection operations, and Federal, state, and local laws, rules, and regulations.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to maintain inventory of supplies prepare schedules preparing requisitions.
  • Excellent written & verbal communication skills; organizational skills, attention to detail; strong interpersonal skills.
